LabCaseBook is built for dental clinics and labs that handle sensitive case information, so this policy is written in plain language: what we collect, where it lives, who can see it, and what we never do with it.

Who we are

What we collect

  • Account details — your name, email address, and sign-in credentials. Passwords are handled by our authentication provider; we never see them.
  • Organization details — your clinic's or lab's name, type, city, phone number, and logo.
  • Case data — the prescription details your team enters: restoration type, materials, shades, tooth numbers, notes, and appointment dates, plus an optional patient name or reference chosen by the clinic.
  • Photos and files — case photos, scans, X-rays, and documents. Files are stored byte-for-byte exactly as uploaded, with a checksum to prove integrity. We never compress or re-encode them.
  • Case history and messages — status changes, the append-only case timeline, and messages exchanged on a case between the clinic and the lab.
  • Notification settings — which alerts you enabled and, if you opt in to push notifications, a push subscription for your device.

Patient information

Adding a patient name or reference to a case is optional and is the clinic's choice; the clinic is responsible for having the patient's consent for the information it enters and shares.

If a clinic shares the patient tracking link, the patient sees only: the clinic's name, their own name, the restoration type, the case number, a progress bar, and the expected date. No photos, no messages, no prices, no lab name. The clinic can turn the link off at any time.

Who can see your data

  • Members of your own organization, according to their role (Owner, Admin, Member).
  • For cases you send: members of the one partner organization the case connects you with — never any other clinic or lab.
  • LabCaseBook platform administration, in read-only form, for account approval and support.

This isolation is enforced inside the database itself, on every single query (row-level security) — not just in the app's screens.

Where your data lives

LabCaseBook runs on managed infrastructure providers: Supabase (database, file storage, and authentication) and Vercel (hosting). All traffic is encrypted in transit over HTTPS.

What we never do

  • We don't sell your data — to anyone.
  • We don't show ads and don't share your data with advertisers.
  • We don't run third-party analytics or tracking scripts on the site.
  • We don't compress, watermark, or re-encode your photos and files.
  • We don't use your case data to train AI models.

Cookies and local storage

A session cookie keeps you signed in. Your theme and language choices are remembered on your own device. There are no advertising or tracking cookies.

Data retention and deletion

Your data stays for as long as your organization uses LabCaseBook. To delete your account or your organization's data, email info@axidv.com from your account email. Because a case is shared between a clinic and a lab, we'll walk you through what deletion means for shared records before anything is removed.

Changes to this policy

If this policy changes, we'll update this page and its "Last updated" date. For significant changes we'll also tell you inside the app. LabCaseBook is a professional tool for dental practices and labs; it is not directed at children.
